Program Assistant

Duties include:
-Performs a variety of administrative and support duties in areas such as administration, budget, purchasing, records and files management, property accountability, travel, and reports. -Drafts, reviews, controls and edits the organization's standard operating procedures in assigned clerical and administrative support areas. -Maintains master files of SOP's, conducts follow-up on procedures to determine effectiveness and need for improvement. -Advises office clerical personnel on proper maintenance and control of records. -Implements instructions for the destruction of records and files. -Answers telephone calls and directs calls/visitors to appropriate parties and/or takes messages. -Organizes meetings and conferences, maintains scheduling and leave calendars. -Uses various database and spreadsheet software to prepare a variety of documents and personnel forms. -Performs administrative tasks including filing, timekeeping and ordering office supplies. -Prepares correspondence for signature and reviews a wide variety of personnel forms for proper spelling, grammar, format and arrangement of information. -Coordinates the preparation and data gathering for special reports and formal responses to requests for data. -Prepares and assists with tuition and travel authorizations for employees and staff. -Prepares correspondence for employees requesting advanced annual and sick leave. -Maintains a data base of the organization's accountable property, updating as necessary. -Prepares work orders for the purchase/rental of various types of equipment and office furnishings. -Assists with utilization and charges to tract and adjust expenditures. -Reviews requests for training, overtime, travel, awards, and equipment to identify appropriate citations and ensure that funds are available. -Research regulations, manuals, handbooks and other reference materials to ensure local regulations are up to date and in compliance. -Performs other related duties as assigned. Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Specialized
Experience:
One (1) full year of specialized experience that equipped the applicant with the particular knowledge, skill, and abilities to perform successfully the duties of the Program Assistant, GS-6 position, and that is in or related to the work of the position to be filled. To be creditable, this experience must have been equivalent to at least the GS-5 level in the Federal service to qualify at the Grade-6. Examples of specialized experience include (but are not limited to):
Experience in positions which required skill in operating a computers to type correspondence such as memorandums, meeting minutes, letters, reports, etc.; experience in positions that required knowledge of grammar, spelling, punctuation, and prescribed formats; experience in positions that required customer service skills such as a receptionist, receiving telephone calls, routing calls to appropriate staff, greeting the customers, etc.; experience in positions that required skill in the operation of computers, copiers, scanners, fax, calculator, and software programs such as MS Word, Excel and Office or other compatible software; skill in compiling readily available data from prescribed sources; knowledge of the organization to search records, files, or electronic data banks to locate information and verify information given; and skill in oral and written communication and interpersonal relations, to appropriately and courteously relate to internal and external customers. Education is usually not credible above the GS-5 for this position; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work. Work Environment:
The work environment involves everyday risks or discomforts, which require normal safety precautions typical of such places as offices, meeting and training rooms, or libraries. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
