POSITION
Summary:
This support specialist position is primarily responsible for administrative support for the Publications Department managers, editors and production technicians as detailed below.

ESSENTIAL DUTIES &
Responsibilities:
Work in a team environment with authors, editors, graphic designers, vendors, and IT professionals.
Support the tasks and roles in the publishing process.
Maintaining the physical ICC Library Tracking due dates and receipt of Bluelines Follow up with print and binder vendors Developing, maintaining, and updating editorial and production schedules Tracking production schedules and due dates, as well as portions of multiple projects Maintaining project checklists and obtaining the items needed to complete the checklists:
Determine if front matter needs review by BPD prior to printing Title page and ads Covers for editorial review ISBN and Item numbers Final page count Correct email and physical addresses for recipients of Blueline copies Correct email and physical addresses for recipients of samples or complimentary copies Providing information needed to create the PO and tracking the PO Co-branding (logos, approvals, samples); verify organization's About the description is correct Take notes at meetings; follow up on tasks/action items Perform routine administrative tasks such as scheduling meetings, responding to customer inquiries, providing requested materials, following up with clients on deadlines Researching and fulfilling customer service and internal department requests Enter new projects in Jira Fulfilling internal requests for PDFs and Word files with approval Other duties as assigned I.
EDUCATION &
Experience:
Associate's degree (A.
A.
) or equivalent from a two-year college or technical school; or six-months to one-year related experience and/or training; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
